Job Description

Eastern Illinois University is seeking candidates for full-time, Office Support Specialist for University Advancement. This position will be a key partner in the work of the Advancement team, providing administrative. In addition to providing administrative support for the Vice President for University Advancement. This employee support important administrative tasks such as gift processing, reconciliation, database administration, travel planning support, data reporting support, alumni and donor engagement support, and administrative support for the Advancement leadership team. The Office Support Specialist reports to the Director of Advancement Operations as a member of the Advancement Operations team.

Essential Duties and Responsibilities:

Manage incoming and outgoing calls for University Advancement, directing communication to the appropriate staff member.
Overseeing the mail, including sending all outgoing gift receipts, donor or organization acknowledgement letters, and other mailings as assigned.
Processes and updates confidential documents, including donor records, donations, purchasing documentation, and historical records for University Advancement.
Assists in coordinating various aspects of special projects and essential programs (e.g. scheduling meetings, reserving event spaces, facilitating catering needs, and making travel arrangements).
Assists, as needed, in coordinating the schedules of the Vice President for University Advancement and the Advancement leadership team (i.e., prioritizes and manages schedules, appointments, meetings and related activities); invites and notifies participants.
Assists Advancement Administrative Aide with overseeing departmental accounts, reconciling purchases, submitting reimbursement and payment requests, and more.
Responsible for travel applications, travel reimbursements, and, as needed, travel coordination for the Vice President of University Advancement and other colleagues in Advancement.
Update constituent information in Advancement’s database (e.g. addresses, contact information, employment information, and various involvement data).
Attend and participate in meetings, work groups, committees, and other internal responsibilities logically related to the role.
Performs related duties as assigned.
Minimum Qualifications:

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

High school diploma or equivalent.
Two (2) years (24 months) of work experience comparable to the third level of this series.
Knowledge, Skills and Abilities:

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Knowledge of the structure and content of the English language including

Comments Work Hours

The core work hours of this position are Monday through Friday 8:00 a.m.- 4:30 p.m.

Starting Salary/Pay Rate Range

This position is a union position; therefore, provisions of the AFSCME collective bargaining agreement/labor contract apply to the filling of this position, including pay rate.

Current starting pay rate for this position is $16.82
