Job Description
-Primary customer service representative to the Student Employment Office. First point of contact for both prospective and current student employees to assist with job search, hiring documents and meeting payroll deadlines. Coordinates department referrals and determines student eligibility for Federal Work Study or Student Aide.
-Responsible for scanning using specialized equipment to convert physical documents into digital images, ensuring clarity, accuracy, and proper organization for retrieval.
-Disseminates information concerning student employment programs.
-Informs departments of employment and wage increase processes for student employees; informs departments of process for extensions in hours per week that a student may work.
-Maintains confidential student employee records and files. Assist with the postings and editing of available on campus job positions (e.g. bulletin boards, handshake website). Advises hiring agents when students participating in the Federal Work Study program are approaching their earnings limit.
-Coordinates marketing of Student Employment outreach, maintains communications with Student Employee group in NEIUport and tracks participation rates each year. Assists the team in establishing annual targets. Assists with the orientation, trainings, events and supervision of student workers in the Student Employment Office.
-Assists students with understanding direct costs (primarily tuition and fees) and how an employment experience is a source of addressing cost of attendance.
-Performs other duties as assigned by the Coordinator of Student.
Qualifications
1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
-30 semester hours equals one (1) year (12 months)
-Associate’s Degree (60 semester hours) equals eighteen months (18 months)
-90 semester hours equals two (2) years (24 months)
-Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience performing office/clerical activities, including the use of computer systems.
3. One (1) year (12 months) of work experience comparable to the second level of this series.
Hours: Monday - Friday, 8:30 A.M. - 4:30 P.M. (Hours may vary depending on departmental needs).
Location: NEIU Main Campus (5500 North St. Louis Avenue, Chicago, IL 60625)
Setting: Office Support Specialist is an on campus position, not eligible for Hybrid or Remote work.
