Job Description

General Summary
This position will perform office support tasks for the Office of Research and Graduate Studies, such as:

Order office supplies and conference supplies, P-card purchases
Manage non-academic aspects of workshops, meetings, and conference organization
Enter vouchers on Colleague
Maintain website and digital media, create flyers and newsletters, maintain mailing lists and distribute mass mailings
Generate and send invoices for journal articles (including following up with authors)
Maintain membership information, invoice, deposit checks
Serve as inventory steward
Administrative assistance for AVP on such tasks as scheduling meetings, coordinating meeting correspondence/documents, taking minutes, coordinate information for awards

Additional Information
Research and Graduate Studies has several units. Some have their own support staff but some do not. Most work encompasses assisting the Associate Vice President, Business Manager, other direct reports, and small centers such as Intercollegiate Biomathematics Alliance, the Office of Student Research, and the Center for a Sustainable Water Future.


Qualifications

Required Qualifications
High school graduation or equivalent.
Any one or combination totaling two years (24 months) from the categories below:
a. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one year (12 months)
- Associate’s degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two years (24 months)
- Bachelor’s degree (120 semester hours) equals three years (36 months)
b. Work experience performing office/clerical activities, including the use of computer systems.
One year (12 months) of work experience comparable to the second level of this series.

The Civil Service examination for this classification is based on your application materials and responses to the supplemental questions. No participation other than submission of applicant materials is required from applicants that qualify to take the exam. If you meet the minimum required qualifications for this position, you will receive a score calculated based on your education and experience, and your name will be placed on the active employment register by exam score. After the application deadline, the names within the top three scores will be referred to the department for interview.
